How we collect, use, protect, and manage information when you request or attend a meeting with TSRB.

Scope and Purpose

This policy describes how TSRB handles information associated with meeting requests, consultations, and related business communications.

This Meeting Scheduling Privacy Policy explains how TSRB Systems LLC, operating through TSRB and its associated service team (collectively, “TSRB,” “we,” “us,” or “our”), handles personal information submitted through a meeting-request, consultation-booking, contact, or related scheduling page.

This notice applies to information collected when you request a meeting, select a date or time, provide information about your organization or improvement objectives, communicate with us before or after the meeting, or participate in an online or onsite consultation.

Important: This policy is intended for TSRB’s meeting and consultation process. A broader website privacy policy may also apply when you browse other pages, complete a survey, download materials, or use other TSRB services.

Information We Collect

The information you provide helps us prepare for a useful and relevant discussion.

Depending on the form and the nature of the meeting, we may collect:

  • Contact information: your name, business email address, telephone number, and preferred contact method.
  • Professional information: job title, department, company name, industry, facility location, and organizational role.
  • Scheduling information: selected date and time, time zone, availability, attendee names, calendar responses, and rescheduling or cancellation details.
  • Meeting context: the purpose of the meeting, questions, operational challenges, project interests, readiness-survey results you choose to discuss, and information you voluntarily provide in form fields or messages.
  • Communication information: emails, meeting notes, follow-up requests, documents you provide, and other correspondence related to the consultation.
  • Technical information: IP address, browser type, device information, referral page, cookie choices, and security or diagnostic information generated when you use the scheduling page.

Please avoid submitting sensitive personal information, confidential technical data, trade secrets, regulated information, or information about another person unless it is necessary and you are authorized to provide it.

How We Use Information

Meeting information is used to coordinate the appointment and support the business relationship you requested.

We may use the information collected through the meeting page to:

  • Confirm, schedule, reschedule, or cancel a meeting.
  • Send calendar invitations, reminders, access instructions, and necessary follow-up communications.
  • Understand your organization, objectives, questions, and requested areas of support.
  • Assign the most appropriate TSRB team member or subject-matter expert.
  • Prepare meeting materials, recommendations, demonstrations, assessments, or proposals.
  • Maintain business records and document agreed actions or next steps.
  • Improve the scheduling process, website experience, services, and customer support.
  • Protect our website, systems, users, and business from fraud, misuse, security threats, or unlawful activity.
  • Comply with applicable legal, regulatory, contractual, accounting, or recordkeeping obligations.
Meeting communications versus marketing: Appointment confirmations, reminders, access instructions, and requested follow-up are service communications. Promotional or educational communications that are not necessary to conduct the meeting should be sent only when permitted by law and may be declined at any time.

Service Providers and Sharing

We may use trusted providers to operate the website, calendar, communications, CRM, and meeting technology.

Information may be disclosed to:

  • TSRB personnel, associates, consultants, or implementation partners who need the information to prepare for or participate in the meeting.
  • Website-hosting, scheduling, calendar, customer-relationship-management, email, document-storage, cybersecurity, analytics, and video-conferencing providers acting on our behalf.
  • Professional advisers, auditors, insurers, regulators, courts, or government authorities when reasonably necessary or legally required.
  • A successor or potential successor in connection with a merger, restructuring, financing, sale of assets, or other business transaction, subject to appropriate confidentiality protections.

TSRB does not sell personal information collected through the meeting-scheduling page. We also do not use meeting-request information for cross-context behavioral advertising.

Third-party platforms may process information under their own terms and privacy notices. Their practices are not controlled solely by this policy.

Online Meetings and Recordings

Participants should know what technology is being used and whether a session will be recorded.

Online meetings may be conducted through a third-party video-conferencing or collaboration platform. The platform may process participant names, email addresses, IP addresses, device details, chat messages, shared files, audio, video, screen-sharing content, and other information necessary to provide the meeting.

TSRB will not intentionally record a meeting without informing participants beforehand. When recording is proposed, we will state the intended purpose and obtain consent where required. A participant may ask questions about the recording, decline to be recorded, or request a reasonable alternative, subject to applicable law and legitimate business requirements.

Participants are responsible for ensuring they are authorized to share any company, employee, customer, production, financial, technical, or other information presented during the meeting.

Retention and Security

We retain meeting information only as long as reasonably necessary for the purposes described in this policy.

Retention periods may vary according to the nature of the relationship, the content of the meeting, active projects, contractual obligations, legal requirements, dispute-resolution needs, and legitimate business recordkeeping. Information that is no longer reasonably required should be deleted, anonymized, or securely disposed of in accordance with our processes.

We use reasonable administrative, technical, and organizational measures intended to protect information from unauthorized access, alteration, disclosure, loss, or misuse. No website, email system, calendar service, or internet transmission can be guaranteed to be completely secure.

Your Choices and Privacy Rights

You may contact us regarding the information associated with your meeting request.

Subject to applicable law and reasonable verification, you may request that we:

  • Confirm whether we maintain personal information about you.
  • Provide access to or a copy of eligible information.
  • Correct inaccurate or incomplete information.
  • Delete eligible information that is no longer required.
  • Restrict or object to certain uses of information.
  • Explain the categories of information collected, used, or disclosed.
  • Stop sending optional marketing communications.

Some information may be retained when necessary to complete a transaction, honor a contract, maintain security, comply with law, establish or defend legal claims, or satisfy other permitted purposes. We will not discriminate against you for exercising rights available under applicable privacy law.

Cookies and Technical Data

The scheduling page may use essential cookies and, where enabled, optional analytics technologies.

Essential cookies may be required for page security, form operation, session management, language preferences, and appointment functionality. Optional analytics or similar technologies should be used according to the choices presented through the website’s cookie controls and applicable law.

You may manage cookies through the website banner or your browser settings. Blocking essential cookies may prevent parts of the scheduling page from operating correctly. Where applicable and technically supported, we will respond to legally recognized browser-based privacy preference signals as required by law.

International Visitors and Children

Business meeting information may be processed in the United States or other locations used by our service providers.

If you submit information from outside the United States, it may be transferred to and processed in a jurisdiction with different data-protection rules. Where required, appropriate safeguards should be used for international transfers.

The meeting-scheduling page is intended for business representatives and is not directed to children under 13. We do not knowingly use the page to collect personal information from children under 13.

Changes to This Policy

We may update this policy as our services, technologies, or legal obligations change.

The current version will be posted on this page with a revised effective date. Material changes may also be communicated through the scheduling page, email, or another reasonable method when appropriate.
